How does this VAT calculation work?
Value Added Tax (VAT) can be confusing for new business owners because the maths changes depending on whether you are adding it to a price or extracting it from a total.
Our free calculator handles both scenarios instantly:
1. Adding VAT (Net to Gross) If you have a base price (Net) and need to add 20% standard VAT to find the total your customer pays (Gross). The Math: You multiply your Net amount by 1.20. Example: A £1,000 net invoice x 1.20 = £1,200 gross. (£200 is the VAT).
2. Removing VAT (Gross to Net) This is where most people make mistakes. If you have a total price of £1,200 and want to find out how much of that is VAT, you cannot just calculate 20% of £1,200 (which is £240). The Math: To work backwards, you divide the Gross amount by 1.20. Example: A £1,200 gross invoice ÷ 1.20 = £1,000 net. (£200 is the VAT).
(Pro tip: The VAT portion of a standard 20% gross figure is always exactly 1/6th of the total).
What are the current UK VAT Rates?
HMRC currently enforces three different rates of VAT depending on the goods or services your business provides. Our calculator allows you to toggle between all three:
Standard Rate (20%): This applies to the vast majority of goods and services in the UK. If you are a B2B freelancer, consultant, or tradesperson, this is almost certainly the rate you will use.
Reduced Rate (5%): This applies to specific items, such as children's car seats, mobility aids for the elderly, and domestic energy/heating.
Zero Rate (0%): This applies to essential goods like most supermarket food, children's clothing, books, and newspapers. Note: Zero-rated is different from "exempt." You must still record zero-rated sales in your VAT accounts.
When do I legally have to register for VAT?
In the UK, you are legally required to register for VAT with HMRC if your total VAT-taxable turnover exceeds the current threshold of £90,000 in a rolling 12-month period.
You must register within 30 days of the end of the month in which you crossed the threshold.
However, many businesses choose to register voluntarily before hitting £90,000. This is often done to look more established to corporate clients or to reclaim VAT on massive upfront business expenses (like buying a company van or expensive camera equipment).
What must a legally compliant UK VAT invoice include?
If you are VAT registered, you can no longer send standard invoices. HMRC requires you to send a "VAT Invoice," which must legally include:
Your unique VAT Registration Number.
The tax point (the "time of supply" date).
The VAT rate applied to each individual line item.
The total amount of VAT charged, shown separately from the Net and Gross totals.

Can I charge VAT on my invoices if I am not VAT registered? No. It is a criminal offence to charge VAT or use a fake VAT number if you are not officially registered with HMRC.
Can I claim back the VAT on things I bought before I registered? Yes, under certain conditions! HMRC generally allows you to reclaim VAT on goods you bought up to 4 years before you registered (provided you still have them), and on services you bought up to 6 months before you registered.
Do I charge VAT to clients outside the UK? It depends on what you are selling and where the client is. Generally, B2B services supplied to businesses outside the UK are "outside the scope" of UK VAT, meaning you charge 0%. However, cross-border rules are complex, so you should always consult an accountant.
